Monmouthshire Housing Association (MHA) Ltd was established in 2008. MHA provides and manages affordable homes in Monmouthshire for those who need them and ensures that all properties are improved and maintained to meet the Welsh Housing Quality Standard.

The Association manages and maintains around 3,600 homes and 290 leasehold properties.

Adopting resourceful and effective boardroom practices

The challenge

MHA hold up to eight board meetings, 15 committee meetings and 26 senior management meetings annually. It was taking one to two staff members at least a day to print, collate and deliver the 17 board packs required for each meeting, an average of 73 days of staff time each year. A digital solution was needed a to help improve efficiency and the speed in which papers were delivered to board members, and keeping up with advances in communications technology.

The solution

After implementing a product from an alternative board portal provider, MHA were experiencing issues. For the end user, the product was proving to be slow and difficult to annotate documents. MHA realised they needed a more refined solution that would not only be quick and efficient to compile board papers but, most importantly, was easy and intuitive to use for board members. MHA had some initial security concerns but after speaking with the BoardPad team, they felt confident with the security features offered by BoardPad.

From a director’s perspective

The introduction of BoardPad to MHA board members has been largely successful. There was some initial resistance to try a new solution due to their previous experience. However, with some reassurance and the knowledge that a board member was already successfully using BoardPad for another organisation, the board shifted with ease. Board members have enjoyed being able to access their papers easily and even see previous meetings. The transition went smoothly allowing the board to begin using the product immediately.

From a meeting organiser’s perspective

The meetings organisers at MHA have been impressed by how simple and efficient the solution is to use. Using Connect, the administrative platform for BoardPad, the administration team now have the ability to check meeting papers before publishing and can also make any last-minute changes.

After successfully implementing BoardPad to board and sub-committee meetings, the housing association have started to use BoardPad for fortnightly senior managers’ meetings and the monthly managers’ meeting. The increase in efficiency and time saved for both the board and administrators has been significant.

Conclusion

The transition to a paperless boardroom with BoardPad has been a success. The board have enjoyed the overall simplicity of the app and the ability to review papers, wherever they are; whilst the efficiency of the administration has greatly increased, allowing the team to focus on other important tasks.

By implementing BoardPad, MHA have estimated savings of £16,000 annually on the collation and delivery of board packs.
